Zendesk alternatives for small teams: what Zendesk really costs and 5 options compared (2026)

Zendesk's chat plan starts at $55 per agent plus $1.50–2.00 per AI resolution. Help Scout, Freshdesk, Gorgias, Crisp and Shopxare priced line by line for a 3-person store (October 2026), plus when to stay and how to move.

Short answer: Zendesk costs $19 per agent per month for email-only Support Team, and $55 per agent per month (billed yearly) for Suite Team, the cheapest plan with live chat and an AI agent. AI is billed on top: 5 automated resolutions per agent are included, then $1.50 (committed) or $2.00 (pay-as-you-go) each. For a 3-person store whose AI resolves 200 chats a month, that is about $443–535 a month. Help Scout ($225), Freshdesk Omni (about $185), Crisp ($95) and Shopxare ($0) cover the same job for less, and Zendesk is still the better pick if you need telephony, skills-based routing and a large app marketplace.

All prices below come from each vendor's own pricing page, checked in October 2026, in US dollars before tax. Zendesk also bills in EUR, GBP and BRL, so your local page may show other numbers.

What Zendesk really costs a small team

Zendesk's pricing page lists three plans with public prices (Zendesk pricing, October 2026):

Plan Per agent, billed yearly Per agent, billed monthly Live chat AI resolutions included
Support Team $19 $25 No (email and ticketing only) 5 per agent/month
Suite Team $55 $69 Yes 5 per agent/month
Suite Professional $115 $149 Yes 10 per agent/month

Two lines on that page decide your real bill:

  1. Live chat starts at Suite Team. "Messaging and live chat" is not in the Support Team feature list. If you want a chat window on your store, the realistic starting price is $55 per agent, not $19.
  2. AI is billed per automated resolution. Extra resolutions cost $1.50 each if you commit to a volume in advance, or $2.00 pay-as-you-go. Zendesk counts a resolution only when the AI agent handled the request without a hand-over, the customer did not ask for more help, and an LLM check verified the conversation. A chat counts as ended 2 hours after the first message by default, an email 72 hours after the first email (About automated resolution tiers).

Copilot, Zendesk's agent assistant, is a separate add-on at $50 per agent per month (yearly) on Professional and higher. The free trial is 14 days.

The AI line is the one that grows. It follows your traffic, not your headcount, so a sale weekend can cost more than your seats.

Zendesk alternatives compared (October 2026)

Tool Free plan Paid from AI agent pricing Pick it over Zendesk when
Help Scout Yes: 5 users, 1 inbox, 100 contacts/month $25 per user/month (Standard) AI Answers: $0.75 per resolution, monthly cap possible Most of your support is email and you want a calm shared inbox
Freshdesk Omni No (14-day trial) $29 per agent/month, billed yearly (Growth) First 500 Freddy AI Agent sessions included, then $49 per 100 sessions You want a ticketing tool close to Zendesk, at about half the seat price
Gorgias No Priced by ticket volume (50 to 5,000 tickets a month), not per agent AI Agent on every plan, paid per resolved conversation You run Shopify and want order actions inside every ticket
Crisp Yes: 2 seats, 100 customer profiles, no AI $45/month per workspace (4 seats); Essentials $95 (10 seats) AI credits per plan: about 90 chats on Mini, 450 on Essentials You want one flat price for the whole team
Shopxare One free plan: unlimited seats, conversations and contacts No paid plan today Are AI included, unlimited resolutions on the pricing page You want chat, email tickets, a help center and an AI agent without per-agent or per-resolution fees

Sources: Help Scout pricing, Freshdesk Omni pricing, Gorgias pricing, Crisp pricing, Shopxare pricing, all checked October 2026. Freshworks does not say on the page whether the 500 AI sessions are a one-time or a monthly allowance, and Gorgias did not show plan prices on its public page when we checked, so use its plan selector with your own ticket count.

The bill for one small store, line by line

"From" prices tell you little, because every vendor counts AI differently. So here is one store: 3 people answer chat and email, and the AI fully resolves 200 conversations a month.

Setup Seats AI Total per month
Zendesk Suite Team, yearly, AI pay-as-you-go 3 × $55 = $165 15 included, 185 × $2.00 = $370 $535
Zendesk Suite Team, yearly, AI committed 3 × $55 = $165 15 included, 185 × $1.50 = $277.50 $443
Help Scout Standard 3 × $25 = $75 200 × $0.75 = $150 $225
Freshdesk Omni Growth, yearly 3 × $29 = $87 200 sessions ≈ $98 once the 500 included are used $87–185
Crisp Essentials flat $95 (up to 10 seats) ~450 AI chats included $95
Shopxare $0 Are AI included $0

Bar chart of monthly cost for 3 agents and 200 AI-resolved chats: Zendesk Suite Team $535 or $443, Help Scout $225, Freshdesk Omni $185, Crisp $95, Shopxare $0

Three caveats. A "resolution" and a "session" are not the same unit, so your real AI count will differ by tool. On Zendesk monthly billing the seats alone go up to $207. And if you connect your own OpenAI, Anthropic or Google key to Shopxare, that provider bills you for usage.

Which alternative fits which team

Help Scout: email-first teams

If most of your volume arrives by email, Help Scout's inbox is pleasant to work in, and you only pay $0.75 when the AI actually resolves something, with a monthly cap if you want one. Live chat (Beacon) is listed on the paid plans. The free plan stops at 100 contacts a month, which a busy store passes quickly.

Freshdesk Omni: the closest like-for-like switch

Freshdesk is a ticket-based help desk built on the same idea as Zendesk. If your team knows Zendesk, this is the least disruptive move, and the seat price is about half. Read the AI terms carefully, since it counts sessions, not resolutions.

Gorgias: Shopify stores with high ticket volume

Gorgias does not charge per agent, which helps when seasonal staff join for a few weeks. It is built around Shopify: agents pull up orders, customers and products without leaving the ticket, and can cancel or discount an order inside the conversation. BigCommerce, Magento and WooCommerce are supported too. Price it with your real monthly ticket count before deciding.

Crisp: one price for everyone

Crisp charges per workspace. Ten people on Essentials cost the same $95 as three. The AI chatbot and workflow builder start at Essentials, not on the free or Mini plan.

Shopxare: everything on one free plan

Shopxare puts the Messenger (website chat), a shared inbox, email tickets from your own address, a help center and the Are AI agent in one free plan. Are AI answers only from your own content and hands over to a person when it is not sure or the customer asks. If you sell on WooCommerce or Shopify, your team sees the customer's orders next to the chat, and Are AI can answer "where is my order" from the shop (stores and orders).

The free plan has limits worth knowing: 100 help center articles, 30 days of report history, 3 teams and 10 workflows. And where Zendesk is ahead: there is no telephony with phone numbers, WhatsApp, Instagram and Facebook Messenger are still on the way, and Zendesk's marketplace is far larger. Our Shopxare vs Zendesk page says the same.

When to stay with Zendesk

Don't switch to save money if one of these is true:

  1. You answer phone calls in the same tool. Telephony is part of Suite Team.
  2. You depend on skills-based routing or IVR phone trees (Suite Professional).
  3. You use marketplace apps that have no equivalent elsewhere.
  4. You have 20+ agents and an enterprise contract with support you rely on.

In that case, cut costs inside Zendesk: compare committed and pay-as-you-go AI resolutions against last quarter's volume, and check whether every agent really needs a Suite seat.

How to move from Zendesk

  1. Check your export option first. Zendesk's built-in data export (JSON, CSV, XML) is not available on Team plans, the account owner has to ask Zendesk support to switch it on, and the CSV leaves out ticket comments (Zendesk: exporting data). On a Team plan, plan to move data through the API.
  2. Import with an API key where you can. In Shopxare, go to Settings → Move to Shopxare, choose Zendesk, paste the API key and pick Contacts, Conversations and Help articles. Old conversations arrive closed, so nobody gets notified, and articles arrive as drafts (move to Shopxare).
  3. Clean up your help center articles. The new AI agent will answer from them, so fix outdated shipping and returns pages now.
  4. Install the new chat next to the old one on a test page (install the Messenger).
  5. Rebuild your 20 most-used macros as saved replies, not all of them.
  6. Point your support email to the new inbox and send a test from an outside address.
  7. Test the AI with 30 real questions from last month. Our guide to setting up an AI chatbot from your own content has the test sheet.
  8. Switch on a quiet weekday and keep Zendesk read-only until the billing period ends.

Example: a 3-person skincare store

A WooCommerce store selling skincare gets about 450 conversations a month: 200 by chat, the rest by email. Most chats are "where is my order", ingredients and returns. On Zendesk Suite Team, yearly, with AI resolving 200 of them pay-as-you-go, the bill is about $535 a month.

A customer writes in the chat: "My order 4821 hasn't moved for three days, is it lost?" The AI agent looks the order up and replies: "Order 4821 shipped on Monday. Here is the tracking link: [link]. Courier scans can pause for a couple of days. If it hasn't moved by Friday, write here and I'll pass you to the team." The store keeps refunds and allergic-reaction questions with a person. That split is the same in any tool; only the bill changes.

FAQ

Is there a free alternative to Zendesk? Yes. Help Scout has a free plan for up to 5 users and 100 contacts a month, Crisp has one for 2 seats without AI, and Shopxare's only plan is free with unlimited seats and Are AI included (October 2026).

How much does Zendesk cost per month? From $19 per agent billed yearly ($25 monthly) for Support Team, which has no live chat. Suite Team, with chat and AI agents, is $55 yearly or $69 monthly per agent. Extra AI resolutions cost $1.50–2.00 each.

Does Zendesk have a free plan? No. There is a 14-day free trial of Suite Professional. Early-stage startups can apply for a 6-month trial for up to 50 agents.

Is Freshdesk cheaper than Zendesk? Per seat, yes: Freshdesk Omni Growth is $29 per agent billed yearly against $55 for Zendesk Suite Team. AI is counted differently (sessions vs resolutions), so compare with your own volume.

Can I move my Zendesk tickets to another tool? Yes, through Zendesk's export or API. Team plans can't use the built-in export, so check your plan before you start.
