Intercom alternatives for small teams: real monthly costs compared (2026)

Crisp, Help Scout, Zendesk, Tidio and Shopxare against Intercom, priced line by line for a 3-person team with 300 AI-resolved chats (prices checked October 2026), plus when to stay and how to switch.

Shopxare Team

Cover with the title "Intercom alternatives: real monthly costs compared" next to a website chat where an AI agent answers a return question and a teammate takes over.

Short answer: for a small team, the cheapest Intercom alternatives are Crisp (from $0, with a $95 plan that covers 10 seats and some AI), Help Scout (free for up to 5 users, $0.75 per AI resolution) and Shopxare (one free plan with unlimited seats and the Are AI agent included). Zendesk is the pick if you are outgrowing Intercom rather than escaping its price. For a 3-person team whose AI closes 300 chats a month, list prices range from $0 to about $735 a month (checked October 2026); Intercom lands at $384–414.

All prices below come from each vendor's own pricing page, checked on 12 October 2026, in US dollars before tax.

Why small teams look for an Intercom alternative

Intercom is a good product. The reason people search for a replacement is almost always the bill, and the bill has two parts:

  • Seats. Essential costs $29 per seat per month billed yearly or $39 billed monthly. Advanced is $85/$99 and Expert $132/$139 (Intercom plans explained, October 2026). There is no free plan, only a 14-day trial.
  • Fin, the AI agent. Every "outcome" costs $0.99. An outcome is mainly a resolution: the customer confirms the answer helped, or leaves without asking for more after Fin's last reply. A configured hand-over procedure also counts. Only one outcome is billed per conversation, and a reopened conversation gets the charge removed (Fin AI Agent outcomes).

The AI part is the one that surprises people. It grows with your traffic, not your team, so a good Black Friday week can cost more than the seats.

Intercom alternatives compared (October 2026)

Tool Free plan Paid from AI agent pricing Better than Intercom when
Crisp Yes: 2 seats, 100 customer profiles, no AI $45/month per workspace (4 seats); Essentials $95 (10 seats) AI credits included per plan: about 90 chats on Mini, 450 on Essentials You want flat pricing per workspace, not per seat
Help Scout Yes: up to 5 users, 100 contacts/month $25 per user/month AI Answers: $0.75 per resolution, monthly cap available Your support is mostly email and you like a calm shared inbox
Zendesk No (14-day trial) Support Team $19/agent (yearly); Suite Team $55/agent (yearly) 5 automated resolutions per agent included on Suite Team, then $1.50 committed or $2.00 pay-as-you-go You need SLAs, complex ticket routing and a big app marketplace
Tidio Yes: 50 conversations/month, 10 seats $24.17/month (Starter) Lyro add-on from $32.50/month for 50 AI conversations You run a small Shopify or WordPress store and want simple chat flows
Shopxare One free plan: unlimited seats, conversations and contacts No paid plan today Are AI included; you can also connect your own OpenAI, Anthropic or Google key You want chat, email tickets, help center and an AI agent without per-seat or per-resolution fees

Sources: Crisp pricing, Help Scout pricing, Zendesk pricing, Tidio pricing, Shopxare pricing, all checked 12 October 2026. Tidio does not say on its page whether $24.17 is the monthly or yearly rate, so check the toggle before you compare.

We left Freshdesk out of the cost example: its pricing page lists per-agent prices and 500 AI sessions on every plan, but it does not show clearly which plan includes live chat, and we could not verify that today.

What 3 agents and 300 AI-resolved chats cost per month

Comparing "from" prices is useless, because each vendor counts AI differently. So here is one store, priced line by line: 3 people answer chats, and the AI fully resolves 300 conversations a month.

Setup Seats AI Total per month
Zendesk Suite Team, yearly 3 × $55 = $165 15 included, 285 × $2.00 = $570 $735
Intercom Essential, monthly 3 × $39 = $117 300 × $0.99 = $297 $414
Intercom Essential, yearly 3 × $29 = $87 300 × $0.99 = $297 $384
Help Scout Standard 3 × $25 = $75 300 × $0.75 = $225 $300
Crisp Essentials flat $95 (up to 10 seats) ~450 AI chats included $95
Shopxare $0 Are AI included in the plan $0

Two honest caveats. First, a "resolution" is not defined the same way everywhere, so your real AI count will differ by tool. Second, if you connect your own AI key to Shopxare, your AI provider bills you for usage; that cost is small per chat but it is not zero. With Zendesk committed resolutions at $1.50, the Zendesk line drops to about $593.

Which alternative fits which team

Crisp: flat price, many seats

Crisp charges per workspace, not per person. If you have six people who answer chats now and then, that changes the maths more than any discount. The free plan has no AI credits, so the AI only starts on Mini.

Help Scout: email-first teams

If most of your volume is email, Help Scout's inbox is one of the nicest to work in. AI Answers at $0.75 per resolution is cheaper per unit than Fin, and you can set a monthly cap. Live chat (Beacon) is listed on Standard and above.

Zendesk: when you are growing, not saving

Zendesk is not cheaper than Intercom in our example. It is the move when you need SLA policies, multi-brand setups and a large marketplace of integrations. Choose it for control, not for price.

Tidio: small stores on Shopify or WordPress

Tidio's free plan covers 50 conversations a month, which is enough to test. Its AI agent Lyro is billed in conversation packs, so price it with the calculator on their page using your real numbers.

Shopxare: everything on one free plan

Shopxare puts the Messenger (website chat), shared inbox, email tickets, help center, flows and the Are AI agent in one free plan with no seat limit. Are AI answers only from your own knowledge (help center articles, short answers, your website, files) and hands over to a person when it is not sure or the customer asks. Where Intercom is ahead: WhatsApp, Instagram and Facebook Messenger channels are still on the way in Shopxare, there is no phone channel, and Intercom has a much larger integration library. Our own Shopxare vs Intercom page says the same.

When to stay with Intercom

Don't switch just to save a few hundred dollars if one of these is true:

  1. You use product tours, in-app messages or a mobile SDK heavily for onboarding a software product.
  2. Fin already resolves complex, multi-step requests with Procedures, and replacing it would mean months of rebuilding.
  3. You have 20+ agents, SLAs and an enterprise contract with support you rely on.
  4. You need WhatsApp or phone in the same inbox today.

In those cases, cut cost inside Intercom instead: move occasional helpers to Lite seats (20 included on Advanced), set a usage limit for Fin in the usage dashboard, and check yearly billing.

How to switch without losing anything

  1. Export your history first. In Intercom you can export single conversations as text or PDF from the "…" menu, export up to 200–300 at a time from the inbox, or pull full transcripts through the Conversations API. CSV exports from saved views and Reports contain metadata, not message text (Intercom: export your conversations data).
  2. Export contacts as CSV and keep the user ID column.
  3. Move your help center articles into the new tool. This is what the new AI agent will answer from, so fix outdated articles now.
  4. Install the new chat widget next to the old one on a test page. In Shopxare that is one snippet, the WordPress plugin or the Shopify snippet (install the Messenger).
  5. Import contacts and match them by user ID or email (contacts).
  6. Rebuild your top 20 saved replies, not all 300. Most old macros are never used (saved replies).
  7. Test the AI with 30 real questions from last month before it goes live. Our guide on setting up an AI chatbot from your own content has the test sheet.
  8. Switch over on a quiet weekday, remove the Intercom snippet, and keep Intercom read-only until your billing period ends.

Example: a 3-person home goods store

A WooCommerce store selling bedding gets about 600 chats a month. Half are "where is my order", sizing and return questions. On Intercom Essential with yearly billing and Fin resolving 300 of them, they pay about $384 a month.

They move to a free plan, import their 40 help center articles, and let the AI agent answer shipping and returns. A customer writes: "Can I return a duvet cover if I opened the package?" The AI replies: "Yes, within 30 days if it's unused and you keep the original packaging. Start the return here: [returns page]. If it's faulty, I'll pass you to the team." The order-specific questions still go to a person, because that is where mistakes cost money.

FAQ

What is the cheapest alternative to Intercom? Of the tools above, Shopxare's free plan and Crisp's free plan cost nothing. Crisp's free plan has 2 seats and no AI; Shopxare's has no seat limit and includes Are AI. For a paid plan, Crisp Essentials at $95 a month for 10 seats is the lowest flat price.

Does Intercom have a free plan? No. Intercom offers a 14-day free trial without a credit card, and early-stage startups can apply for a discount program.

How much does Intercom Fin cost? $0.99 per outcome, on every plan, as of October 2026. You pay only once per conversation, and escalations a customer asks for are not billed.

Can I move my Intercom conversations to another tool? You can export them (text, PDF or through the API), but Shopxare does not import old chat history, so ask any other tool about it before you switch. Keep the export as an archive and start fresh in the new inbox.

Is Zendesk cheaper than Intercom? Per seat, Zendesk's Support Team plan ($19 yearly) is cheaper than Intercom Essential ($29 yearly). Once you add AI resolutions on Suite plans, Zendesk is often more expensive for a small team.

If you want to try the free route, Shopxare is free with no credit card, and you can run it next to Intercom until you are sure. For the free-plan view of tawk.to, Tidio and Crisp, see our tawk.to alternatives comparison.
